How it works

Servings come from the size of each tier. The calculator uses the serving table in the Cake Order Form workbook, which takes its counts from Wilton's serving guide for 2-layer cakes: wedding slices about 1 x 2 in, party slices about 1.5 x 2 in. A 10 in round gives 38 wedding servings or 28 party servings.

Cake price is servings times your price per serving. If that comes to less than your minimum cake price, the cake is priced up to the minimum.

Delivery is your base fee plus the one-way miles times your per-mile fee. A rush fee is a percent of the cake and extras, added when the event is fewer days out than your rush window. Sales tax, if you charge it, is figured on the subtotal. The deposit is a percent of the total; the rest is due at the event.

A worked example

The Cake Order Form's example is a made-up home bakery quoting a three-tier wedding cake: 10 in, 8 in and 6 in round in fondant. That is 38 + 24 + 12 = 74 wedding servings, and at $6.00 a serving the cake is $444.00. Twelve sugar flowers, fresh flowers arranged and a cake box and board add $98.00. Delivery is 18 miles one way: a $10.00 base fee plus $1.00 a mile is $28.00. The event is 36 days out, so no rush fee, and no sales tax is charged. The total is $570.00, with a $285.00 deposit to book and $285.00 due on the event date. Change the days to 4 and the 20% rush fee adds $108.40.

Quote, print and track every cake order

The Cake Order Form and Order Tracker for Excel and Google Sheets quotes from your own Price List: 24 cake sizes with party and wedding servings, up to 6 extras per order, delivery, rush fee, tax, deposit and balance, plus a one-page order summary to print for the customer. An Order Log keeps every order, deposit and balance with a plain-words status. It includes a filled-in example and a cups-to-millilitres card. $2.99, instant download.

Questions

How do I price a cake by the serving?

Count the servings the tiers give, then multiply by your price per serving. Pick the size first, look up its servings, and add the tiers together. A minimum cake price keeps small cakes worth baking.

What is the difference between wedding and party servings?

Slice size. Wedding servings are cut about 1 x 2 in, party servings about 1.5 x 2 in, both from a 2-layer cake, so the same cake gives more wedding servings. A 10 in round gives 38 wedding servings or 28 party servings.

How much deposit should I take for a cake?

That is your call; many bakers ask for part of the total to hold the date. Type your own percent. The calculator shows the deposit and the balance due at the event.

When should I charge a rush fee?

When an order comes in too close to the event for your normal schedule. Set the rush window in days and the fee as a percent of the cake and extras; it is only added inside that window.

Do I have to charge sales tax on cakes?

It depends on your state and local rules. Type 0 if you don't charge it, or your rate if you do, and check with your state's tax agency.
